What Is an Advanced Provisioning Allowance (APA) in Yacht Charters?

If you're planning a luxury yacht charter, especially in the Mediterranean, you've likely come across the term Advanced Provisioning Allowance (APA). But what exactly is APA, and why is it important?

At High Tide Yacht Charters, we’re here to demystify yacht charter terms and help you plan a seamless, unforgettable experience. This guide explains everything you need to know about the APA—how it works, what it covers, and why it’s a vital part of your charter booking.

What Is the Advanced Provisioning Allowance (APA)?

The Advanced Provisioning Allowance (APA) is a prepaid expense fund that covers the variable costs of your yacht charter. These include things like:

  • Food and drinks
  • Fuel
  • Docking and mooring fees
  • Local taxes
  • Watersports equipment and excursions
  • Other operating expenses during your trip

Rather than being included in the charter fee, the APA is paid separately in advance, typically 20% to 30% of the base charter fee. The amount is calculated based on the yacht size, itinerary, and your preferences.

Why Is There an APA?

Yacht charters—especially those under MYBA terms (Mediterranean Yacht Brokers Association)—give you the freedom to customise your experience. The APA makes this flexibility possible.

Instead of choosing from a set menu or standard itinerary, you tell the crew what you'd like—your favourite wines, your preferred cuisine, how far you want to cruise, and what activities you want to enjoy. The crew then uses the APA to source and prepare everything in advance and throughout your trip.

How Does APA Work?

Here’s how the APA system works step by step:

1. Payment Before Charter

You’ll pay your APA via bank transfer at the same time as your final charter balance, usually several weeks before departure. This gives the crew time to stock the yacht with your chosen provisions, fuel up, and prepare.

2. Captain’s Responsibility

Your Captain is solely in charge of managing the APA fund. They’ll make purchases, pay marina fees, and handle fuel top-ups, all while keeping detailed records of every transaction.

3. Transparency Throughout

During your trip, the Captain will update you on how the APA is being used. You can request to review the expense log at any time.

4. Reconciliation at the End

At the end of your charter:

  • If your APA was underspent, the unused balance is refunded to you.
  • If it was overspent, you’ll be asked to settle the difference.

Real Example: APA in Action

Here’s a real-life APA breakdown from a recent 8-person charter in Greece aboard a Crewed Lagoon 52:

  • APA Paid: €4,000
  • Total Spent: €3,738
  • Refund: €262

Expenses included:

  • Provisions (meat, fish, vegetables): €1,422
  • Alcohol: €674
  • Port fees: €80
  • Fuel: €741
  • Excursion transport: €100
  • Miscellaneous: €721

This level of transparency ensures every cent is accounted for—and your money goes exactly where you want it to.

What Affects the APA Amount?

Several factors influence the APA percentage:

  • Yacht size and fuel consumption: Larger or motor yachts burn more fuel.
  • Charter destination: Fuel and docking fees vary by region.
  • Duration of your charter: Longer trips naturally incur more expenses.
  • Guest preferences: Premium wines, special menus, or luxury excursions raise the cost.

A High Tide Charter Broker will help you estimate your APA accurately before you book.

APA vs. All-Inclusive Charters

Not all yacht charters use the APA model. In the Caribbean, many yachts offer all-inclusive pricing, where food, drinks, and fuel are rolled into the charter fee.

However, in the Mediterranean, MYBA charters (the most common format for luxury yachts) almost always use the APA system. This allows for a tailored experience, rather than a one-size-fits-all package.

Final Thoughts: APA Makes Luxury Seamless

The Advanced Provisioning Allowance gives you ultimate control over your charter. It ensures your crew can deliver exceptional service and meet your every request without financial limitations. It’s an elegant solution to managing the real costs of a truly customised yachting experience.

At High Tide Yacht Charters, we guide you through every step—from estimating your APA to planning a dream itinerary—so you're fully prepared to set sail.
